2. Data processed and purposes

Browsing the site

The site consists of static pages. Like any web server, the hosting provider logs technical request data (IP address, browser type, page requested, date and time) solely to deliver the site and protect it from abuse. The legal basis is our legitimate interest in the security and operation of the service (Art. 6(1)(f) GDPR). The site uses no analytics, profiling or advertising tools, and does not put personal data in page addresses.

Contact by phone, WhatsApp and email

The site contains no forms: if you contact us by phone, WhatsApp or email, we process the data you send us (name, contact details, message content) to reply and, if requested, to manage your stay. The legal basis is the performance of pre-contractual measures or of the contract (Art. 6(1)(b) GDPR). Messages are kept for as long as needed to handle the request; data linked to a booking is kept for 10 years for accounting and tax purposes. WhatsApp is a service of WhatsApp Ireland Ltd., with its own privacy policy.

Bookings

The booking bar on this site does not collect personal data: it passes only your chosen dates and number of guests to the booking engine. Bookings are completed on the TeamSystem Hospitality engine (hospitality-guest.teamsystem.cloud), which opens in a new tab and processes the data you enter (name, contact details, payment details) under its own privacy policy, which we invite you to read before confirming.

When you choose to check availability, Civis Hotels receives the dates and adult count to search Lilium and Imperial through Hotel in Cloud and TeamSystem Hospitality. The request passes through our Vercel hosting; the services may record technical network data. No name, email or payment details are sent. Links between the two websites retain dates, adults and language. For children, infants or unsupported groups, we offer direct assistance without reducing the guest count. Booking is completed in the selected property’s engine, under its privacy notice.

3. Cookies and local storage

This site sets no cookies and loads no third-party scripts. It uses only the browser's local storage (localStorage and sessionStorage) for some technical information, which stays on your device and is not sent to any server.

Technical storage (no consent required)

These items are strictly necessary or store a choice you have made:

  • imperial-theme — light or dark theme preference. Kept until you delete it.
  • imperial-lang — language chosen for the site. Kept until you delete it.
  • imperial-cookie-consent — remembers that you closed the cookie notice with “OK”, so it is not shown on every page. Kept until you delete it.
  • i18n_* (sessionStorage) — interface text in the page language. Deleted when the tab is closed.
  • civis-bookbar (sessionStorage) — dates, guests and property selected in the booking bar; deleted when the tab closes.

Analytics and profiling cookies

The site does not use any. Should we introduce measurement tools in future, we would activate them only after your explicit consent and would update this policy.

Third-party sites

The TeamSystem booking engine, Google Maps (opened via the "Open in Google Maps" link) and WhatsApp are external services: when you open them, they may set their own cookies on their own domains, under their respective policies.

How to manage your preferences

You can see the notice again at any time via the "Cookie notice" link at the bottom of every page, or delete the site's data in your browser settings.

4. Disclosure of data

Data is not sold or transferred for marketing purposes. It may be processed by:

  • Civis Hotels — the team that manages the property and handles requests;
  • technical providers — site hosting (Vercel Inc.) and the booking engine (TeamSystem), solely for the stated purposes and bound by agreements under Art. 28 GDPR;
  • competent authorities — where required by law.

5. Transfers outside the EEA

The site's hosting provider is based in the United States: any transfers of technical browsing data take place with the safeguards provided by the GDPR (Standard Contractual Clauses and the EU-US Data Privacy Framework).

6. Your rights

Under Articles 15–22 of the GDPR you have the right to:

  • access — know whether we process your data and receive a copy;
  • rectification — correct inaccurate or incomplete data;
  • erasure — request deletion of your data, subject to legal obligations;
  • restriction — request that processing be suspended;
  • portability — receive your data in a structured format;
  • objection — object to processing based on legitimate interest;
  • withdrawal of consent — at any time, without affecting prior processing.

To exercise them, write to info@civishotels.com: we reply within 30 days. You may also lodge a complaint with the Italian Data Protection Authority, the Garante per la protezione dei dati personali (www.garanteprivacy.it).

7. Security

The site is served over HTTPS only, with security headers and a Content Security Policy that prevents unauthorised scripts from loading. It has no restricted areas and no databases of personal data.

8. Changes

This policy may be updated to reflect changes in legislation or in the service. The date of the last update is shown at the top of the page.
